What is a Job? A job is the internal record we use to track all repair and maintenance activities on your vehicles. Once an estimate is approved, it becomes a job in our system where we document the entire repair process.

Jobs can start from an approved estimate or directly from a work request.

Open Job is scheduled or in queue No action needed - work will begin soon
In Progress Technicians are actively working No action needed - we'll update you on progress
On Hold Waiting for parts or your approval Check for communications from us

Invoiced Invoice has been sent Review and process payment

What's Tracked in a Job?

  • Vehicle details (Unit #, VIN, mileage)
  • Assigned technician(s)
  • Parts used and ordered
  • Labor hours logged
  • Service notes and findings
  • Photos documenting repairs and conditions

Communication During Repairs

We'll contact you if we discover additional issues that require a revision (additional work approval). You can also reach out anytime to check on status - just reference your job number.

Job Numbering

Each job has a unique identifier format:

T1234-241129-5A3B
  • T1234 = Your truck identifier, or your account identifier for account-level jobs (e.g., FSL)
  • 241129 = Date created (YYMMDD)
  • 5A3B = Unique 4-digit code

Photos & Documentation

Photo Documentation

Jobs include photo documentation of repairs and vehicle conditions. Photos help provide transparency and can include:

  • Before/after repair images
  • Worn or damaged parts
  • Safety-related findings
  • Work in progress

Where to Find Photos

  • Job pages: All photos included on every job detail page
  • Emails: Photos displayed inline in estimate, revision, and invoice emails
  • Invoice PDFs: Photos are not included in PDF attachments

Estimates, revisions, and invoices use color-coded line items to help you quickly identify different types of charges:
